For samples that are sent to us from outside the EU, specific measures may apply and our import license will be required.
Below you can find more information about this. Please contact us for additional questions before sending the samples.
If you send samples to the Netherlands from outside the EU, realize that the samples need to pass customs. Sometimes shipments of samples are delayed due to inspections or because couriers more strictly check the required documentation.

When sending don’t forget to write clearly on your commercial invoice “DO NOT OPEN: SAMPLES FOR DESTRUCTIVE RESEARCH AT LABORATORY” and that your samples will be at risk of delay and/or return, so please register the CPC-code (depending on the kind of sample you are sending) as well as our EORI number (NL8173.41.973.B01).
In order to ensure a smooth logistic process we would like to ask your help by following the standard procedure for importing plant material into EU and The Netherlands because we have a destructive research license to test on plant tissue.
The preffered suplliers to send samples to our laboratory are: DHL or UPS.
Procedure for new samples
Normec Groen Agro control has a permit for destructive research on very specific risk-bearing material. This makes it possible to receive plant material, plant products, water, food or feed from outside the EU only for destructive laboratory analyses.

When preparing your package:
1. Order Form inside the package
Add the filled out LoA-form and the Proforma Invoice on the outside of the package. So your COURIER can see it. Best is behind foil, or even better in a foil-ziplock bag to open. Make sure your samples are leak-proof packed.
2. The A and D documents on the outside of the package
Please place the following 2 documents in a transparent zip-log bag and attach them to the OUTSIDE of package;
- Document A : LoA document (Click to see the filled out example form) Download the empty one below.
Fill out all that is asked in box1. Scan this one and print 1 for every new shipment, only add a date in writing to it.
Make sure that the LoA-form with Serial nr /Clientnumber and date of sampling is on the front in that zip-lock bag, so that the number can easily be read by couriers and authorities. - Document D : Proforma Invoice for your samples

- Write the amount of samples, the value of 2,-$ per sample, add up to ….$ We notice that all packages with value of 1$ are checked/blocked
- Write at description: for example “Leaves of Tomato for destructive measurements’’ . If another crop write another crop-name or other type of sample.
- Write at description the Harmonized Code: HS/HSC-code of 6 digits. ‘’HS/HSC-Code 0604.20’’ for Leaves, and ‘’HS/HSC-code 2853.90’’ for WATER, others find the Harmonized-code.
- Do not sent total plants, but separate roots and plant in both first packed in paper and than in a bag. It is not allowed to sent a total plant.
- Also add an orderform inside the box for our lab to know what analysis you want.
- HS/HSC-code 0810.90 for Tomato fruit (= Fruit Other according to HS)
- For other fruits or types of samples find the HS-code on https://internationalshippingassist.van.fedex.com/
- Only write the a 6 digit code, not the longer version.
